01Two kinds of data
Sensenatureal holds two kinds of information. Account data is information about your business and the people who log in, such as owner and staff names, emails and billing details. Client data is information your business records about its own clients, such as bookings, preferences, colour formulas, notes, photos, consent forms and purchase history.
For account data, we decide how it is used to run the service. For client data, your business decides, and we process it only on your instructions.
02Client data belongs to your business
- We never sell client data, and we never use it to advertise to your clients.
- We do not contact your clients except to send messages your business has set up, such as confirmations, reminders and rebooking invites.
- You can export your client data at any time, and it is deleted from our systems after you close your account and the export window ends.
03Sensitive client details
Allergies, sensitivities, photos and signed consent forms are stored only because the client chose to share them with your business. These fields are visible only to staff roles the owner allows, and each view and edit is logged.
Sensenatureal is built for salon and spa services, not medical treatment. Please do not use it to record medical diagnoses. Skin and health concerns should be referred to qualified professionals.
04Messages and consent
Reminders and confirmations are sent for bookings a client has made. Rebooking invites and offers are sent only to clients your business has marked as having agreed to receive them. Every message includes an easy way to opt out, and opt-outs are respected across all outlets.
05How the AI Rebooking Assistant uses data
The assistant looks at visit history within your own account to work out when a client is usually due and which slot suits them. It does not combine your client data with other businesses' data, it does not change prices, and it never books on a client's behalf without their reply.
06Security
- Data is encrypted in transit and at rest.
- Access is controlled by roles set by the owner, with activity logs.
- Backups are taken daily and stored separately from live systems.
- Our own staff access client data only to provide support you request.
07Service providers
We use carefully chosen providers for hosting, email delivery, payments and WhatsApp messaging. They process data only to deliver their part of the service and are bound by confidentiality and data protection terms.
08Your choices
Account holders can update their details in settings, export data and close their account. Clients of a business using Sensenatureal should contact that business to see, correct or delete their information, and we will help the business respond.
